Introduction: We’re looking for a dedicated and detail-oriented Reservations Support Executive, who’s able to commit to a 3–6 month contract role with a leading, luxury travel company in Altrincham, on a full or part-time basis.

Description:

The role will involve managing and coordinating reservations for clients, ensuring a seamless and efficient booking process. This role requires excellent communication skills, a strong customer service orientation, and the ability to handle multiple tasks simultaneously. You’ll be the first point of contact for clients, providing them with information about availability, rates, and services. You’ll also be responsible for processing reservations, handling cancellations and modifications, and resolving any issues that may arise. A keen eye for detail, the ability to work under pressure, and a commitment to providing exceptional service is essential!

This is an initial 3-month contract, potentially extending to 6 months and our client can offer a competitive pro rata salary, along with the chance to gain experience within a luxury travel organisation. Please note, this is a fully office-based role.

Role of Reservations Support Executive:

  • Work with the Reservations Manager to support and perform the Reservations job function for operators/agents & direct passengers
  • Groups Management – loading initial group contracts, rooming lists and maintaining records 
  • Respond to website and other general enquiries 
  • Work with Reservations Manager to support the company’s visa processing function through providing accurate and relevant visa information letters to all new bookings in accordance with their travel requirements
  • Monitor and respond where necessary all e-mails received into the Visa inbox
  • Work with the Reservations Manager in the fulfilment of all tour documentation (pre and post travel) for the guests
  • House management of the Reservations system – undertake the responsibility of tour loading and inventory management 
  • Promotions - Creating and editing reservation promotions and special offers
  • Support the department with the processing of customer feedback data.

Skills required for the role:

  • Travel industry reservations/customer service/administration experience
  • Excellent communicator via phone, e-mail and face to face
  • Proactive and able to take initiative
  • Approachable and able to build effective relationships
  • A strong understanding of GDPR
  • Flexible team player
  • Good Word / Excel / Powerpoint / Outlook skills

Role of Website Content Executive:

  • Work closely with the Sales Manager, offering a flexible approach and assistance with a variety of tasks.
  • Deal with inbound travel enquiries efficiently.
  • Book and confirm hotels, transfers, tours, or any other necessary components with overseas suppliers.

Role of Ticketing Manager:

  • The main aspect of the role will be to oversee the ticket department on a daily basis.
  • Queue management – ensure all q’s are kept up to date including: schedule changes, general, web, re-issues and q’s are checked at the end of the day to ensure everything has been actioned for that day.
  • Monitor schedule changes and ensure that agents/customers are advised of the changes.  Make any alterations to bookings, update back-office systems to reflect the changes.

  • Manage ADM & ACM process from start to finish.
  • In conjunction with the training department conduct and help to co-ordinate airline training for reservations team.
  • Manage relationships with E sales customers.
  • Advise reservations and aftersales team of any disruptions to airline services that will affect passengers and ensure that contingency plans are followed.
  • Cover the OOH emergency line as part of a rota.

  • Process and chase tickets, maintaining accurate and up-to-date ticket reports

  • Provide sales support and cover when required, including handling customer enquiries and preparing and issuing holiday quotations
  • Represent the business at conferences and events on an ad hoc basis, where required

  • Experience gained within a similar travel admin or travel advisor role
  • Working well on your own initiative, and as a team player
  • Strong attention to detail and to be able to work in a busy environment, working under pressure
  • PC literate and ability to use reservations and website booking systems to download and process bookings.

Role of Operations Manager – Luxury Rail & Tour Operations:

Logistics and Tour Coordination:

  • Voucher management: Prepare, issue, and manage all transfer and tour vouchers.
  • Programme confirmation: Reconfirm tour programmes, timings, guide arrangements, and transport logistics with local suppliers.

Hotel and rooming list coordination:

  • Prepare and send accurate rooming lists to partner hotels within agreed deadlines.
  • Confirm room requirements, including pre-tour and post-tour nights.
  • Monitor hotel contracts, release dates, attrition deadlines, and cancellation terms.
  • Build strong supplier relationships and negotiate competitive rates, favourable terms, and service improvements where appropriate.
  • Live operational support: Act as a key contact point for suppliers and internal teams, managing last-minute changes. 

Pre-Tour Planning and Guest Documentation:

  • Guest manifest management: Prepare and distribute accurate master passenger manifests.

  • Passport and compliance checks.

Financial and Administrative Oversight:

  • Invoice management: Proactively obtain invoices from hotels, transport providers, guides, and local suppliers.
  • Billing accuracy: Check supplier invoices against confirmed guest numbers, issued vouchers, contracted rates, and services delivered.
  • Post-tour reconciliation: Work with the Finance team to complete post-tour reconciliations, resolve discrepancies, and close out trip accounts accurately.

Role of Cruise Sales Manager:

  • Oversee, manage, and lead the sales team ensuring daily performance targets are achieved to maximise company profit.
  • Prepare, deliver, and motivate sales staff for the day ahead ensuring delivery of key messages. 
  • Compiling and analyzing sales figures – daily, weekly and monthly

Role of Regional Sales Manager:

  • Build and maintain strong relationships with key agents and suppliers.

  • Plan, carry out and support local marketing activities to agreed timescales e.g. product launches, events, promotions, advertising, and exhibitions.
  • Assist the Marketing Team in carrying out marketing activities. Develop ideas and work with the marketing department to promote products to the trade.
  • Monitor and report on market and competitor activities and provide relevant examples and information.
  • Deliver presentations at agent meetings, internal meetings and other functions to promote all products.

Skills required for the role:

  • Previous experience gained within a similar sales role in the travel sector - essential

I took a 7 year hiatus from the Travel industry to develop my skills in a completely different role. Unfortunately, that came to an abrupt end through to insolvency and it knocked me sideways as I was climbing the career ladder.
